Fee receipt › Dues and reminders
Fee dues and polite reminders
Most unpaid fees are simply forgotten. A clear dues list and a polite message solve most of them.
How the dues list works
Press Dues list (who has not paid). For each student it takes the latest saved receipt and shows:
- the month the fees are paid up to,
- any balance left on that receipt.
Rows are highlighted when the student is behind the current month or has a balance. Sort is by class, then name, so a class teacher can go down the list.
Sending a reminder
Press WhatsApp reminder on a row. WhatsApp opens with a ready message to the parent’s number: the student, the month paid up to and any balance. Read it, change anything, and send. Nothing is sent without you pressing Send.
Good habits
- Make one receipt for every payment, even part payments.
- For the next month, open the last receipt and press Next receipt: months move on and any balance becomes previous dues automatically.
- Remind once, politely, a few days after the due date. Avoid naming children in class groups.
- Keep a backup: My data › Save a backup file, at least once a week during fee collection.
Late fee
If your fee rules include a late fee, add it as its own fee head ("Late fee") so it is clear on the receipt. State the rule in writing to parents at admission.
