Fee receipt format
A good fee receipt answers every question a parent, an auditor or the school office may ask later.
What to include
- School or institute name, address, phone, and affiliation or registration number.
- Receipt number (one running series a year) and date.
- Student name, parent’s name, class, section and roll or admission number, and session.
- The months the payment is for.
- Each fee head with its amount, any concession, and previous dues.
- Total payable, amount received (in figures and words), and balance due.
- Mode of payment: cash, UPI, cheque with its number, or bank transfer.
- GST line: exempt for school education, or the GST charged by a registered coaching centre.
- Signature of the accountant or authorised person.
A sample
| Fee head | Amount |
|---|---|
| Tuition fee (April to June) | ₹7,500 |
| Transport fee | ₹2,400 |
| Exam fee | ₹500 |
Fees ₹10,400, concession ₹750, previous dues ₹1,200: total payable ₹10,850. Received ₹10,000 by UPI, balance due ₹850. (Example only.)
Common mistakes
- No months on the receipt. Parents and the office then argue about which month is paid.
- Old dues not shown. Always show previous dues and the balance, so the next receipt starts from the right figure.
- Handwritten corrections. Cancel and make a new receipt instead; the old one stays in Saved fee receipts.
- Large cash. Under the Income Tax law, no one may receive ₹2,00,000 or more in cash from one person in a day or for one transaction. Take big fees by UPI, cheque or bank transfer.
